Requirements

1. Subordination in the German social security system

2. at least 1 payment of contributions into the German social security system (= at least 1 month of employment subject to social security contributions in DE)

3. Approval of official residence by the human resources department (e.g. business trip, relocation, changing places of work)

Request for relocation / changing duty stations

Informal application by the responsible professor or supervisor.
Approval of the head of the department/central institution required.
After forwarding to the Human Resources Department, the latter decides and issues the approval if necessary.

The application should include at least the following information:

1. Department or organizational unit submitting the application and the contact person responsible there

2. Name of the employee(s) to be sent abroad

3. Period of the planned stay abroad

4. Target country to which the employee will be sent or foreign country of employment

5. Place of employment in the target country, name of the institute (please provide complete address)

6. Official justification for the transfer

7. Signature of the professor on whose behalf the stay abroad is taking place.

Application: DVKA-form for secondment for the corresponding country outside of Germany

If your sending country has not been listed on the DVKA page, this country will probably not have concluded an SV agreement with Germany. Then please proceed as follows:

Civil servants (Beamte)
Application: not required, as statutory social security insurance as per § 4 SGB IV is not compulsory for civil servants.

Please note:
In case of secondments to non-member states or countries without an agreement, double social security insurance may apply under certain circumstances. Please contact the corresponding foreign consulate as early as possible and enquire about the regulations of your sending country.

Important Tip:

Private health insurance for abroad

Private international health insurance covers medical treatment costs in excess of the statutory share, repatriation and repatriation in the event of death. This is why this additional coverage is strongly recommended for employees who go abroad on official business.

Since the state of BW does not cover the costs of private health insurance abroad, employees must bear these costs themselves.

For stays abroad of up to 56 days per trip, private international health insurance, which you may already have taken out as part of your credit card contract with your bank, is sufficient. Please contact your bank to check your insurance coverage and further details.
