Data protection information as per Article 13 GDPR

4. Legal basis

The data will be collected for the purpose of support of international degree-seeking students:
in accordance with Art. 6 para. 1 lit. e in connection with  para. 3 of the EU's General Data Protection Regulation (GDPR) in connection with §§ 2, 12 para. 1 Landeshochschulgesetz Baden-Württemberg LHG (state law on higher education) and Hochschul-Datenschutzverordnung (data protection act) Baden-Württemberg.

5. Purpose of data processing

The personal data you enter into MobilityOnline will only be used for the purpose of advising during your studies at the University of Konstanz, for managing support services (orientation courses, housing scheme, support in immigration-related issues) and for the purpose of reporting. Without the personal data, participation in these support services is not possible. For these purposes, data and information will be forwarded via mail or via e-mail to internal or external responsible offices (see chapter 6 "Recipients").

The privacy policy is active and current as of 27 May 2020. As our online services are continually being updated and developed, and new technologies are implemented, it may be necessary to change this privacy policy. We reserve the right, at any time, to change the privacy policy with immediate effect to the status quo. We recommend that you read the current privacy policy from time to time.

Protocol files

When you use MobilityOnline, you use your web browser to send information about yourself to the corresponding online server. The following data are recorded when your web browser is connected to the online server for the purpose of communicating this information:

  • Date and time of the request
  • Name of the file requested
  • Page the file was requested from
  • File status (e.g. file uploaded, file not found)
  • The web browser, screen resolution and operating system used
  • Full IP address of the accessing computer
  • Transmitted data volume

Cookies

Session cookie: The cookie (JSESSION) is required for matching all your requests to your current session.

6. Recipients

The data will be forwarded to the following organisational units of the university:

  • Members of staff of the International Office for individual advising and support of international students
  • Teachers and the head of the orientation programme
    will receive personal information on participants from the International Office to the extent that is required for managing and teaching in the orientation programme.

The data will be shared with the following third parties

  • The responsible Immigration Office
    will receive, if prior consent is given by the student with a nationality of a non-EU/EEA state, personal data and documents by the International Office that the student has provided for supporting him/her in issues related to immigration law (e.g. residence permit). 
  • The Federal Office for Migration and Refugees (BAMF)
    In the event of a European mobility scheme in accordance with §16 c AufenthG in connection with the EU Directive 2016/801, the International Office will forward the personal data required by the scheme to the BAMF in order to apply for a mobility certificate for studies of an international student at the University of Konstanz. This process will be initiated by the International Office in cooperation with the international student in accordance with the Anwendungshinweise des Bundesministeriums des Innern zu Gesetz und Verordnung zur Umsetzung aufenthaltsrechtlicher Richtlinien der Europäischen Union zur Arbeitsmigration from 14.07.2017.
  • The Housing Office of Seezeit Student Services
    will receive personal data relevant for Seezeit hall of residence applications through the International Office housing scheme.
  • Banks and blocked account providers
    will receive, if prior consent is given by the student, personal data that is required for establishing or managing a bank account.
  • State or private health insurance providers
    will receive, if prior consent is given by the student, personal data that is required for taking out or managing a membership.

7. Storage duration

Data and personal information will be stored for the duration of your studies at the University of Konstanz. In case of deregistration from the university, your data will be deleted by the end of the following year. 

The protocol files (see above) will generally be stored as personal data for a maximum of 14 days.

JavaScript

The JavaScript elements used serve the purpose of displaying and reloading dynamic information.
The web service can only be used to a limited extent if JavaScript is turned off.

Cookies

Session cookies (JSESSIONID) will be deleted when the browser session ends.

8. Your rights

  • In accordance with Article 15 GDPR, you have the right to request information from the University of Konstanz about any data it stores that is related to your person and/or to have incorrect data corrected as per Article 16 GDPR.
  • You also have the right to demand that your data be deleted (Article 17 GDPR), that the processing and use thereof be restricted (Article 18 GDPR), as well as to object to the processing and use of your data (Article 21 GDPR).
  • You can withdraw your consent to your data being stored at any time and without incurring disadvantages. The processing of personal data is lawful until consent is withdrawn.
